Job Summary

The Payroll Administrator is responsible for processing and maintaining accurate payroll records for all company employees while ensuring compliance with all federal, state, and local payroll tax regulations. This position serves as a key resource for payroll administration, payroll tax compliance, reporting, employee payroll inquiries, and related accounting support functions.

Responsibilities - Job Specific

  1. Process weekly and bi-weekly payroll for all company employees accurately and timely.
  2. Maintain payroll records, employee pay information, garnishments, deductions, direct deposits, and tax withholdings.
  3. Ensure payroll tax compliance including federal, state, and local payroll tax reporting and payments.
  4. Prepare, review, and reconcile payroll reports, tax filings, W-2s, and other payroll-related documentation.
  5. Assist with payroll audits and ensure compliance with company policies and government regulations.
  6. Work closely with Human Resources regarding new hires, terminations, pay changes, and employee status updates.
  7. Research and resolve payroll discrepancies, employee questions, and tax-related issues in a professional and timely manner.
  8. Maintain confidentiality of all payroll and employee information.
  9. Assist with reporting, special projects, and payroll-related accounting functions as needed.
  10. Support additional office and administrative duties as assigned.

Administrative
1. Adhere to all Ted’s Café Escondido Restaurants’ policies, procedures, and guidelines.
2. Maintain confidentiality with all company and employee information.
3. Attend all meetings as needed.
4. Ensure compliance with all federal, state, and local regulations.

Work Conditions
1. Must be able to work 40+ hours a week.
2. Subject to frequent interruptions.
3. Subject to occasional travel between units.
4. Varied working hours to include weekends, holidays, late evenings, and early mornings as needed.
5. Physical movement required intermittently throughout the work period.
6. Occasional driving.

Minimum Qualifications - Education & Experience
1. High School Diploma or GED equivalent required; College Degree preferred.
2. Prefer of 2-3 years of payroll administration experience required.
3. Prefer payroll and payroll tax experience. Experience in Sage Accounting a plus. .
4. An equivalent combination of experience, education, and other qualifications may be considered.

Specific Requirements
1. Must possess excellent interpersonal relations.
2. Must have excellent oral and written communication skills.
3. Must possess the essential computer skills to be proficient with all applicable software in use.
4. Strong attention to detail and organizational skills required.
5. Ability to handle sensitive and confidential information professionally.

1. Professional in attitude, demeanor, and dress.
2. Good organizational skills and ability to work under pressure.
